Privacy Policy

This policy explains what personal information we collect when you visit rakutsvisuals.com, contact us, or use our studio dashboard, and what we do with it. We keep it short and collect only what we need to do the work.

1. Who we are

Rakuts Visuals is an interior visualization studio run by Roman Rakuts. We are the “controller” of the personal information described here, which means we decide how it is used.

2. What we collect

When you send an enquiry

Your name, email address, the type of work you need and anything you write in the message.

When you create a dashboard account

Your name, email address, studio or company name and a password. Your password is stored by our login provider in scrambled (hashed) form; we can never see it.

When you use the dashboard

The project information you and the studio add: briefs, plans, moodboards, reference files, renders, comments, approvals, change requests and messages. This can include details about a property or client project you share with us.

When you book a call

Bookings are made through Calendly. The details you give Calendly (such as name, email and meeting time) are shared with us so we can hold the call.

Automatically, when you visit

Like every website, our hosting provider receives technical information such as your IP address, browser type and the pages requested, so it can deliver the site and keep it secure. We do not use analytics, advertising trackers or tracking cookies.

We do not sell your information, use it for advertising, or make automated decisions about you. We will not add you to a mailing list unless you ask us to.

Renders we make for your project may only appear in our portfolio or on social media if your contract or your written permission allows it.

4. Who we share it with

Only with the people and services needed to do the work:

  • Our studio team, who can see the projects they work on.
  • Netlify hosts the website and receives the contact form.
  • Supabase runs the dashboard: accounts, project data and files.
  • Resend delivers the dashboard’s notification emails. It receives your name, email address and the text of the update.
  • Calendly handles call bookings.
  • Google Fonts and jsDelivr deliver fonts and code to your browser, so they receive your IP address when pages load.
  • Our email provider [name, e.g. Google Workspace] holds the emails we exchange.

Inside the dashboard, clients only see their own projects. A client never sees another client’s work, and team-only notes are hidden from clients.

We may also share information if the law requires it, or to protect our rights in a dispute.

5. International transfers

Some of the services above are based in, or store data in, the United States and other countries. Where information leaves the UK or the European Economic Area, we rely on the safeguards those providers offer, such as the UK and EU standard contractual clauses or the EU–US Data Privacy Framework. [Dashboard data is stored in Supabase’s (region) data centre.]

6. How long we keep it

  • Enquiries that don’t lead to a project: up to 12 months, then deleted.
  • Dashboard accounts: while the account is open. Ask us and we will delete it.
  • Project files and messages: for the length of the project and up to [2] years after, so we can supply copies or follow-up work, unless you ask us to delete them sooner.
  • Invoices and business records: as long as tax law requires (usually 6 years in the UK).

7. Security

The site and dashboard only work over encrypted connections (HTTPS). Dashboard access is controlled by rules in the database itself, so each person can only reach the projects they belong to. Project files are stored privately and opened through links that expire after an hour. No system is perfectly secure, but if a breach ever puts your information at risk, we will tell you and the authorities as the law requires.

8. Cookies and storage

The public website sets no cookies. When you log in to the dashboard, your browser stores a login token so you stay signed in. This is strictly necessary for the dashboard to work, so it doesn’t need your consent. Signing out removes it.

9. Your rights

Depending on where you live, you can ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that is wrong;
  • delete your information or your dashboard account;
  • limit or object to how we use it;
  • send your information to you or another company in a common format.

Email roman@rakutsvisuals.com and we will reply within one month. It’s free. If you’re unhappy with how we handle your information, you can complain to your data-protection authority. In the UK that is the Information Commissioner’s Office (ico.org.uk). We’d appreciate the chance to fix things first.

10. Children

Our services are for businesses and adults. We don’t knowingly collect information from anyone under 16.

11. Changes to this policy

If we change how we use your information, we will update this page and the date at the top. For significant changes, we will tell dashboard users by email or in the dashboard.
